Goals

Challenges

The Technical Operations team at Euroimmun US supports scientists in Scientific Affairs, Quality Control, Sales, Technical Support, and Technical Operations in the field.

Before using SciSure, the group relied solely on Excel spreadsheets and undocumented data (e.g., staff memory) for sample management, making it challenging to manage interdisciplinary communications about samples, testing, and data. Researchers struggled with version control, leading to misalignments and a need to revisit, compare, and revise data points to ensure that the correct and consistent values were used. This consumed a significant amount of time, resources, and bandwidth.  

As the company scaled, so did the challenges it faced. With more samples, shipments, tests, and configurations, sample management quickly became unwieldy and sometimes inaccurate. For example, the status of a given sample was inconsistently spread across multiple documents or versions of the same document. This led to an unreliable representation of their inventory, making it difficult to interface across departments and accommodate company growth.

Solution

These issues made it imperative to shift sample management to a platform that kept consistent, live, and easily accessible sample data.

With this goal in mind, the Technical Operations team at Euroimmun US sought a digital solution to unify sample and data management. The company aimed to accommodate future growth and increased sample use, as well as interface with more departments, such as Sales.

SciSure was selected to address these organization-wide issues and deliver a proactive solution to current and future challenges.

Results

Improved sample management, integrity, and quality

Once SciSure was implemented, the most apparent improvement was in sample organization across all applications. The physical and digital storage and retrieval of samples were streamlined, resulting in increased efficiency and cost savings.

The SciSure system has also reduced the likelihood of retrieving the wrong samples or mixing them up. Thus, it has reduced the number of unnecessary freeze-thaw cycles.

All of these improvements contribute to sustained sample quality and integrity, reducing the time and effort required to locate, identify, and obtain samples. Across the entire organization, SciSure has effectively consolidated sample management into a small team and provided them with the tools to efficiently fulfill sample needs across multiple teams.

More searchable sample collection; more sustainable operations

Another benefit is the ability to visualize the company’s sample inventory in an approachable and digestible format. The ability to filter based on specific criteria allows them to effectively identify only the most relevant samples for their needs, even if they span multiple cohorts or test types. The inventory’s search and filtering features are used the most by their personnel. SciSure has also enabled them to quickly identify the location of a desired sample and seamlessly update the sample status after it has been used.

Accordingly, Euroimmun US has reduced energy draw from cold storage units, as the time the storage doors were open has been diminished by more efficient sample retrieval.

Future Plans

Euroimmun US’s upcoming plans aim to expand the implementation and use of SciSure to more teams within our organization. Its mobile platform is an exciting feature that can be utilized by their sales team and field service teams to easily access sample data while traveling.
